Our Cancellation Policy

As a clinic we value the commitment of both our clients and our clinicians. Our clinicians invest a significant amount of time and effort preparing for each session to ensure that you receive the best possible care and support.

Unfortunately, late cancellations and no-shows result in a significant loss of income for our clinicians. They are often unable to fill these appointment slots on short notice after already having invested considerable time and effort preparing for that session.


Cancellations made with less than 48 hours’ notice before the scheduled appointment will incur a $50 cancellation fee.

Cancellations made with less than 24 hours’ notice or no-shows will be charged 100% of the session fee.

NDIS clients – cancellations made with less than 48hrs notice before the scheduled appointment will incur 100% of the session fee.

Please note, cancellation fees cannot be rebated from Medicare or health insurance providers.

For Worksafe, TAC, VOCAT, and other third-party clients, you are responsible for paying for your cancellation fees, as third parties and insurers tend not to cover cancellation and no-show fees.

We understand that unforeseen circumstances may arise, and we will consider exceptions on a case-by-case basis for emergencies and extenuating circumstances

can I get a rebate for psychology?

A Medicare rebate for Psychology can be accessed under a MHCP, which is known as a Mental Health Care Plan. Referrals from your GP are valid for 12 months, so you will need to obtain a new one each year to continue receiving a rebate.

  • First, you must meet the criteria, which generally means that your doctor has diagnosed you with a disorder.
  • Secondly, you need to have a referral from your GP, who recommends you go to a specific psychology clinic (hopefully us!)

HOW DOES THE REBATE PROCESS WORK?

At Yarra Valley Psychology, we need you to pay the full fee upfront first, and then we can process the Medicare rebate and get it back to you. The rebate should be returned to your nominated bank account (with Medicare). Here are the steps:

  • You need to pay the full fee on a DEBIT card
  • We process the Medicare rebate online via our processing system after your appointment
  • You should receive the rebate in your nominated account within approximately 24-48 hours

HOW MANY SESSIONS WILL BE COVERED?

A MHCP allows for a total of up to 10 rebated consults to any referred psychologist per calendar year (January to December). Since the COVID-19 pandemic, you are also able to access a further 10 sessions per year (20 in total from January to December).

You will first be given access to 6 sessions and then you will be required to attend a review with your GP in order to access the final 4 sessions. Another review with the GP will then need to be conducted to access the final 10 sessions on your plan.

HOW MANY SESSIONS WILL BE COVERED?

Unfortunately, Counsellors do not have access to a Medicare rebate, and so this means you will have to pay the full fee for sessions to see a Counsellor.

This normally works out to be about the same amount as seeing a Psychologist with a Medicare rebate!

Counsellors are also registered to provide therapy sessions under the NDIS, some private health insurance providers and the Victims of Crime scheme (VOCAT)

Please Note: Fees must be paid on the day of your appointment. A Medicare rebate may be available if you hold a valid Mental Health Care Plan from your GP. Saturday and after-hours appointments (5pm onwards) incur an additional $10 fee.
